In accordance with national guidance, this year’s Regional Women’s AGM will be taking place virtually. In order to accommodate this and ensure that members in the South East have the opportunity to participate fairly and democratically, we have made some slight changes to the normal processes and timescales. Everything you need to know, including details on registering to attend, nominating members for election, and submitting motions for debate, can be found below.

TECHNICAL DETAILS
Microsoft Teams can be accessed on a computer, tablet or mobile phone. It can be accessed through most internet browsers, but you may wish to install the application beforehand.

If you are unable to access Teams, then you can ‘dial in’ to the meeting using a phone number and code. Please advise committee administrator Rosie Sammut as soon as possible if this applies to you.

AGM ATTENDANCE

All delegates and visitors to the Regional Women’s Committee AGM 2022 must themselves be UNISON members from the South East Region. Branches are invited to register up to five AGM delegates who will be able to participate in the election for contested positions and vote on key terms of business. If your branch has an established Women’s Self-Organised Group, they should be asked to participate in this. All women members in your branch should be given an equal opportunity to put themselves forward.

The deadline for registering your delegates is 5pm on Friday 17 December.

Additionally, any women members who are not delegates are invited to attend the AGM as virtual visitors. The deadline for visitors registering to attend is also 17 December.

All registered delegates and visitors will receive a link to the meeting and paperwork for the AGM by email on 7 January 2022.

ELECTIONS
Branches and individual women members are invited to submit nominations to the Regional Women’s committee as well as various internal and external bodies, which will be elected at the AGM.

If you would like to nominate to any of these roles, candidates must be nominated by their branch or by at least one woman member. All nominees must themselves be women members from the South East region. You can find more information about the various elected posts and committees on our regional website or email Rosie Sammut with any questions you have.

Candidates will be asked to submit an election address of up to 500 words.

The deadline for nominations and for election addresses to be received is 5pm on Friday 10 December 2021.

For any contested posts, all registered delegates will receive voting papers in advance of the AGM. The ballot will close before the meeting. The results of any ballots and any uncontested posts will then have their elections ratified at the AGM.

MOTIONS AND RULE CHANGES
Branches and individual SOG members are invited to submit motions and rule changes to the current Regional SOG Committee Constitution.

The deadline for motions and rule changes to be received is 5pm on Friday 17 December 2021.

ACCESS REQUIREMENTS
UNISON recognises that in order for our members to fully participate, it may be necessary to make some adjustments so that we can ensure, so far as is reasonably practical, that everyone has the same opportunity to take part across our structures. If you require any adjustments to be made to facilitate your participation in a virtual meeting, please complete the Access Passport and return to committee administrator Rosie Sammut by 5pm on Friday 17 December 2021

If you have previously completed an access passport and require adjustments for this meeting, please complete a new version of the passport and return it to me as soon as possible because of the differing requirements from a physical meeting compared to one being held online.
